ADMINISTRATION ASSISTANT

 

The Administration Assistant will provide administrative support and logistical assistance to the Climate Change and Disaster Risk Reduction Project Management Unit for meetings, workshops and climate change and disaster risk reduction activities.

 

The Assistant will be responsible for the following tasks:

 

  1. Organise meetings and appointments for staff of the NAB Secretariat- PMU 
  2. Prepare NAB meeting rooms, type and circulate agenda and invitations, organize catering, minute taking and any other duties related to NAB or Secretariat meetings
  3. Assist in logistical arrangements for workshops held within Port Vila and nationally, including but not limited to arranging flights, per diem payments, venues, catering, contacting participants for meetings, and organising transport
  4. Telephone, email or otherwise contact partner organisations as requested by project staff
  5. Support other NAB Secretariat- PMU  staff in regards to finance & procurement for events
  6. Manage incoming/outgoing correspondence and communications of the NAB Secretariat- PMU 
  7. Manage filing & archiving of reports and materials of the NAB Secretariat- PMU 
  8. Printing, photocopying and stapling information packs
  9. Any other duties as reasonably requested by Supervisor and project staff

 

Criteria:  Completion of Year 13; 2-3 years’ experience in administration and event logistics/organising, including payments; computer skills; a driver’s licence; and proficiency in Bislama and English.

 

Remuneration:  A fortnightly rate consistent with Government of Vanuatu pay scales.

 

Duration:  Full time, immediate start to January 2014
